While it’s not necessary to be crazy organized, having an event planning timeline is simply meant to help you enjoy your own party. Event planning can be stressful, depending on how “perfect” you want the details to be. Most events use the same basic timeline. After awhile, you’ll customize your own planning schedule. Remember, if your guests have fun, it doesn’t have to be perfect!

Event Planning Timeline: 1 Year – 6 Weeks

Set the Date, Time & Location

Choose your event date as early as possible to secure your venue and your guests’ availability. Before finalizing, check for potential conflicts such as birthdays, major sporting events, local festivals, or seasonal holidays that could reduce attendance.

Renting a location limits date availability and your potential budget for the event. Book early to lock in the best rate.

Choose Your Event Theme

The sky is the limit! There are so many creative and fun themes you can customize. From fandom favorites, decades, movies to graduations and anniversaries, there are easy ways to pull it all together. Your theme sets the tone for everything — invitations, décor, menu, and activities.

From decade parties and movie nights to graduations and anniversaries, there are endless creative options. Choose a theme that fits your audience and budget, then build your details around it.

Create Your Guest List & Send Invitations

After setting theme and date, create your guest list and decide how you’ll send invitations. Use at least two forms of communication ensures better attendance tracking.

  • Explore the DIY invitation option: You can use photo apps to type event information on an image to download in a jpg format. These can easily be text or emailed, saving postage.

Start Planning Decorations

Shop early if you’re DIYing decor, especially if you are making some or all of them. If you want to buy, this gives you plenty of time to shop around for the best deals.

  • You’ll want to order early, you never know when a delivery may be delayed or an item is backordered.
  • If you plan early enough, capitalize on after-holiday sales for specific colors that you can use for your event.
  • PRO TIP: Take advantage of after-holiday clearance sales. Coordinated colors (like red after Christmas) can often be repurposed for future events at a fraction of the cost.

Timeline: 3-4 Weeks Before Event

Most guests respond quickly if they cannot attend, follow up with those that you haven’t heard from to plan for food and seating.

Offer extra interactive activities you want available for different age groups

  • Icebreakers or Contests – Arrange or make prizes, favors and supplies for the activities. If you buy, order ahead to allow plenty of delivery time.

Finalize Décor

Get ahead of preparations – order flowers, plan dinnerware and table decor. Put together centerpieces and other decor, you can box and store items for the upcoming day.

Menu Planning

Even the smallest gatherings offer refreshments or simple snacks .

 Create Final Checklist – Write down or use a notes app to type everything that still needs to be done specific to your event planning.

Timeline: 2 – 3 Days Before Event

Confirm Rentals – Verify the details for venue and deliveries.

Fresh & Prep Food – Purchase fresh fruits and vegetables last to ensure maximum freshness. Some appetizers and desserts can be prepped a couple days early and refrigerated. Any prepped frozen items can be placed in the refrigerator to begin thawing.

Pack Supplies – Pack cleaning supplies, décor, and extras that you are taking with you in boxes or storage tubs so they are ready-to-go.

Day Before Event

 Food Prep – Pick up pre-ordered cake, flowers, etc. Make any dishes that can be prepared a day ahead or marinated.

Decorating & Table Setup – Hosting at home gives you flexibility to decorate a couple days prior. Rearrange furniture if needed. Set tables for seating and serving. Lay out all dinnerware, utensils, napkins, bowls, etc. Place serving dishes and/or crockpots in desired location for placement. You’ll know if you need additional spacing or extension cords to outlets.

Day Of Event

Final Food – Pick up/make/food delivery of main course. Mix or chill beverages so they will be ready to drink. Pick up additional bags of ice to store in a cooler for serving if freezer space is limited.

Set Up Activities – Say YES to friends or family that ask to help! Put up all outdoor decorations, inflate balloons, etc. Set music ready to play.

Capture memories – Create event-specific hashtag for friends and family to share photos to make easier to find on social media. You can also set up a social media group with privacy settings for everyone to upload their pictures.

 Self-Care – Allow yourself plenty of time to get ready, have fun!
